A specialized fractional CFO firm providing financial management services to 100+ creative agency clients needed to automate their entire WIP reporting process — which was costing over 300 hours per month in manual work across multiple QuickBooks accounts and Google Sheets.
The Problem
The firm managed WIP reporting through 100+ individual Google Sheets — one per client. The accounting team manually logged into separate QuickBooks accounts, exported data, copy-pasted into spreadsheets, and sent invoice approvals via email chains. Each bi-monthly update took 90 minutes per client — totaling 300 hours monthly.
The Solution
A hybrid automation architecture using Make.com for QuickBooks integrations, n8n for orchestration and complex logic, and Airtable as the central data hub. Each client gets a real-time self-service portal with live project data, invoice tracking, and monthly snapshots.
Make.com — QuickBooks Integration Layer
All QuickBooks workflows run on Make.com using native QB modules with built-in OAuth, direct webhooks for real-time updates, and automatic retry logic for API failures.
n8n — Orchestration & Complex Logic
n8n handles timesheet integrations (Harvest, Toggl, Clockify), project creation orchestration, monthly snapshot generation, and automated reconciliation between QuickBooks and Airtable.
Airtable — Central Data Hub
7 interconnected tables form the client-side data model: Projects, Clients, Invoice Transactions, Cost Transactions, Time Entries, Monthly Snapshots, and Audit Log. Real-time rollups auto-calculate net revenue, budget utilization, and cost overage flags.
Client Self-Service Portal
Each client gets a dedicated Airtable Interface showing net revenue, invoiced totals, budget utilization charts, project completion distribution, and monthly snapshots — all filtered by client ID for data security.
